As clearing of trees and passageways continues in our area, all three University of Mary Washington campuses will remain closed tomorrow, January 6. We understand a number of employees still have no power and are experiencing childcare and travel restrictions. All UMW campuses closed Wednesday, January 5
The greater Fredericksburg region and the UMW campuses continue to make progress in recovering from the significant winter storm that slammed the area yesterday. The good news is that water has been restored campus-wide. However, many area roads remain impassible; power, internet and phone service disruptions continue; and downed trees and branches are slowing snow removal.
As a result, all three University of Mary Washington campuses will be closed again tomorrow, January 5, in order to further support recovery operations. Employees who can work from home should do so. Those unable to work remotely should contact their supervisor.
We are grateful for your patience as we work to resume normal operations and prepare for the arrival of students for the spring semester.
As previously announced, the University will welcome residential students back to campus on Sunday, January 9, with classes beginning on Monday, January 10. Virtual instruction will take place on January 10, 11 and 12 in support of the University’s COVID-19 testing protocols. In-person instruction will begin on Thursday, January 13.
Students planning to arrive earlier than Sunday, please beware of possible disruptions due to storm recovery efforts. If possible, it would be advisable to delay your return until Sunday.
Public safety and emergency management continue to closely monitor the potential for additional inclement weather in the coming days. Should any adjustments to operations be necessary, updates will be shared promptly via email and on the UMW homepage.
In addition, our public health team continues to evaluate the challenges of COVID-19. They expect to provide some additional guidance before the end of the week about how we can return to campus and work together to mitigate the risk of the virus and protect the health and safety of our community. This will also be shared via email and posted at the COVID-19 section of the UMW webpage.

Travel Guidance
Even though State and Federal travel restrictions are presently in place, we realize people are trying to plan for FUTURE travel. Please use the following guidance.
At this time—and until further notice—ALL travel requests (day-only or overnight) submitted for travel dates after March 15th, 2020 must have Cabinet level approval. This applies to both Travel Pre-Approval reports and reimbursement Expense Reports. If travelers are able to avoid making travel commitments at this time, they should do so. If the traveler is not able to hold off on making travel commitments, a Travel Pre-Approval request should be entered in Chrome River. In addition to the automatic electronic approval routing in Chrome River, documentation from the Cabinet level is required. The documentation can be an email or other form of written approval and must be attached as an uploaded document in Chrome River. A list of Cabinet Members is provided below.
If documentation from Cabinet level is NOT attached to the Travel Pre-Approval request or the reimbursement Expense Report request, the request will be returned until Cabinet level documentation is provided. In addition and until further notice, without Cabinet level approval attached in Chrome River, the Travel Pre-Approval or reimbursement Expense Report is considered UNAPPROVED, regardless of the report status identified in Chrome River.
If you received a credit, voucher, or waiver due to a cancelled trip and plan to use it for future business travel, you must also obtain Cabinet level approval and enter a new Travel Pre-Approval request.
Based upon a notification the U.S. DOT published on 4/3/20, airlines should now be willing to process refunds as detailed at https://www.transportation.gov/briefing-room/us-department-transportation-issues-enforcement-notice-clarifying-air-carrier-refund. If you were previously denied a refund and offered a credit or voucher instead, please contact the airline again to see if they are now willing to process a refund.
UMW greatly appreciates your efforts in seeking refunds.

A message from President Paino regarding ICE decision on international students
The University of Mary Washington is alarmed by the recent decision from the U.S. Department of Homeland Security’s Immigration and Customs Enforcement (ICE) agency barring international students from entering or remaining in the United States in the event that they are able to enroll only online this fall. UMW has and will continue to welcome international students as valuable members of our community. These changes to student visa policies are arbitrary and damaging to the University, our students, and our region.
While the University is and will continue to monitor the situation, ongoing developments, and current legal actions, UMW is also taking specific steps in response:
- The University, with the assistance of the Attorney General’s Office, is exploring how best to support the Harvard/MIT lawsuit challenging the forthcoming rules that bar online study for international students.
- The University’s Director of the Center for International Education, Dr. Jose A. Sainz, is closely following developments and has been in communication with and providing support to all UMW students likely to experience impact from these policy changes.
- International students may continue to avail themselves of academic and social support services such as advising, virtual access to the library, the James Farmer Multicultural Center, and the Talley Center for mental health as long as they are enrolled at UMW.
- As part of UMW’s plan to reopen this fall, and as documented in our submission to the State Council of Higher Education for Virginia (SCHEV), UMW has committed to materially supporting international students in meeting federal guidelines for self-quarantine following entry into the United States prior to the start of classes.
To start the 2020-2021 academic year, UMW intends to offer courses delivered in multiple modalities: online, hybrid, and face-to-face. The process of deciding which courses will be taught in which modality is ongoing and evolving as circumstances change. Such choices will always be made in the interest of public health, the well-being of our faculty, staff and students, and our commitment to high quality instruction.
A particularly pernicious aspect of the Department of Homeland Security’s decision is that it irresponsibly pressures institutions to make decisions about teaching modalities that have nothing to do with health or pedagogy. Institutions of higher education must remain flexible in order to best respond to trends in public health data and the wellbeing of students and employees. If circumstances warrant, courses that are currently scheduled to meet face-to-face on campus must have the ability to go online without derailing the educational attainment of international students.
Fall 2020 is clearly an exceptional one for the entire world. Higher education has repeatedly assured students and other stakeholders that this environment is an anomaly and adversity mitigated only when we share responsibility and work together as a community. Yet this ruling seems to indicate that international students are secondary contributors to American education. It is a misguided framework, and most educators will attest to their experience that international students stand equal with U.S. students in their intellectual, social, and financial impact. The richness and diversity of thought brought by a variety of cultures are crucial to a global perspective that benefits all students and this nation. Either we stand together during this pandemic or we are all fundamentally weakened and vulnerable.
Public comment invited for Local Bacteria TMDL Action plan
The University of Mary Washington has prepared a draft “Local (Chesapeake Bay) Bacteria Total Maximum Daily Load (TMDL) Action Plan” for its Municipal Separate Storm Sewer (MS4) permit for public comment. Please send comments on the draft plan to Les Johnson at ajohnso3@umw.edu by June 15, 2020
A Message from President Paino
To our extended UMW community:
This was to be a week of celebration of our graduates. Then, COVID-19 redefined our lives. UMW’s desire to help ensure your wellbeing doesn’t lessen the disappointment of having to defer our time-honored traditions. As you know, tomorrow would have been the day when our campus displayed its finest formalities, bagpipes played, and folks packed into Ball Circle for UMW’S 109th Commencement.
Fortunately UMW’s traditions transcend a date. While those special moments cannot be experienced in person right now, we want to remind you that we will celebrate our graduates this fall. We also want to offer a special virtual May 9 message for our Class of 2020.
I encourage you to visit umw.edu today through Sunday for comprehensive commencement coverage. Today and tomorrow, you can submit congratulatory notes to graduates; this will be displayed for everyone to see on the site. You also can read interesting stories about this extraordinary class. On Saturday, you will be able to view the names of graduates as well as a video that brings home the richness and poignancy of a Mary Washington graduation. (And because the video features yours truly, there’s also a little humor!)
As I previously announced, we plan to hold Commencement for the Class of 2020 on October 24, 2020. Regrettably we are still dealing with a perplexing virus, which leaves us with a lot of unknowns. Our hope is that the date we have picked will be a beautiful fall day and a safe time for a large group to gather again.
In this age of uncertainty, contingencies are imperative. A backup to the fall date will be Thursday, May 6, 2021. We know that seems too long to wait; however, we cannot predict the course of the coronavirus and when flare-ups may occur again. That is why we are exercising an abundance of caution and picking two dates.
Meanwhile, we are asking parents, faculty and staff, alumni and friends – anyone with a Mary Washington connection – to submit congratulatory notes this weekend. Give kudos to a specific graduate, cheer for the class as a whole, or share memories of your graduation day or advice for the future. Simply post your well wishes on Twitter or Instagram and include #UMW2020. Messages will be prominently featured on our congrats page through Sunday.
Lastly, to the Class of 2020: You will always be special to me. We came to Mary Washington together, and while it is time for you to move forward in your journey, you will always be remembered for your amazing qualities, defined by your resilient and caring spirit, and missed as precious members of this community.
In the words of our Alma Mater, another tradition that will ring out virtually tomorrow:
Here’s to Mary Washington;
Our love will never die.
All the best,
Troy Paino
Virtual Orientation 2020
Congratulations on your acceptance to the University of Mary Washington! New Student Orientation is a special time for students and the entire Mary Washington community. We are thrilled to welcome you.
This year, due to ongoing concerns with COVID-19, our New Student Orientation and arrival program will be virtual, but no less lively or exciting. Currently, we have closed orientation registration as we complete planning for the new program. An email will be sent to your UMW email account when the registration system opens. If you have already registered for an orientation session, we will be in touch with an email regarding next steps. If you have paid guest fees, they will be refunded.
As information becomes available about the New Student Orientation process, we will make it available to your UMW email account. Please feel free to email orientation@umw.edu with questions. In addition, our current students are eager to talk with you, our incoming Eagles, and your families about the place they love and to answer any question such as “what advice do you have for incoming students?” or “what is your favorite Mary Wash tradition and why?” Below is the link to join our live zoom session which runs every night Monday – Friday from 7-8 p.m.

UMW Center for Career & Professional Development is open and ready to help!
The entire Center for Career & Professional Development (CCPD) knows UMW’s students will come through this challenging time with increased resiliency, adaptability, and confidence. There are many reasons for this optimism:
- Local, state, and national employers are still recruiting UMW students and alumni even if they have put immediate hiring on pause temporarily. Employers are looking forward to the end of the outbreak. Here is an informal list of the hiring status for employers around the country.
- Since March 23, over 1,000 new jobs, internships, and other opportunities were posted to Handshake for all UMW students and alumni.
- Employers are connecting with seniors directly in Handshake who make their profiles public. Check out this Handshake article on how to be seen by more employers.
- Alumni are more than ready to connect with students through LinkedIn, especially those who graduated during the great recession (2007-2010).
- Employers are excited to hear students’ stories of resilience, adaptability, and professional development during this time. Developing new skills development is one thing they like to see. There are several free online skills development sites including free access to LinkedInLearning (formerly Lynda.com) from the Central Rappahannock Regional Library.
- Every Thursday afternoon, CCPD emails one targeted newsletter to Seniors with tips for building skills, networking with professionals, advice from employers, a blog from our Career Coach Mary Becelia, and highlighted jobs
- CCPD is offering 4 options to connect virtually with a career coach or peer career consultant either via Zoom or phone. See below for more info
- In the coming weeks, CCPD will expand the online tools and resources available to students, including a platform for virtual mock interviews
CCPD is ready to support UMW’s students. Below are some of the resources, tools, and services available to all students and alumni.
Handshake: The Career Center’s official job and internship database for students and alumni. Students are encouraged to complete their Handshake profiles, use the tools in the Resources section, and discover new opportunities. Employers are posting internships and jobs daily.

COVID-19 Travel Cancellations
If any travel-related items have been booked/paid, contact the vendor (airline, some are even refunding previously designated non-refundable tickets; hotel or hotel/lodging-booking source; conference registration; shuttle; etc.) as soon as possible to cancel the services. Each vendor policy is different in their response to COVID-19. In some cases, vendors are waiving cancellation penalties or they may give a “credit” or “voucher” (minus any cancellation penalty) which can be used in the future.
- NOTE #1: If a UMW payment source (SPCC; UMW Finance Card; or UMW check, wire, or electronic payment to a vendor) was used—OR if UMW reimburses for the expense—AND the vendor issues credit for future use, the credit must be used for UMW business travel; you are not allowed to use the credit for personal travel. If you use any portion of the unused ticket or vendor credit for personal travel, state policy requires you to reimburse UMW for the cost.
- NOTE #2: Policy does not allow for travel insurance and most insurance policies will not provide coverage for this event.
Make every effort to get a refund and document circumstances in detail to demonstrate your efforts to get a refund. For example, document the date, the name of the person you spoke to, and the result of the conversation, including details of when the refund/credit/voucher should come through. It is important that you keep all correspondence with instructions, waivers and refund information from the vendor to ensure a smooth transition with finalizing the fiscal portion of the transaction. Vendor documentation and correspondence is required.
- For SPCC (department card) or UMW Finance Card payments/bookings
Work with the SPCC Cardholder or the UMW Finance Cardholder to document circumstances and outcomes
-
-
- If refunds or credits are not granted, the original funding source will carry the expense
-
- For Direct Payments made through Accounts Payable (check or electronic payment)
Contact the vendor directly
-
- The vendor should submit reimbursement to UMW
- The payment stub on the vendor’s payment to UMW should include your name or department name
- The refund should be deposited into the FOAP that was originally used (office managers should be able to assist)
- Physical checks will be deposited at the cashier’s office in Lee Hall and you will need to tell the cashier the FOAP to deposit
- Notify payables@umw.edu of details and outcome
- For Payments made by Personal Cards/Funds
Contact the vendor directly and try to get a refund directly to you
-
- If the vendor refuses to refund AND if a Travel Pre-Approval was in a fully-approved status at the time of purchase, submit reimbursement through Chrome River, as usual, and use the Comments section to clearly document details regarding attempts to get a refund. Upload any written documentation as an attachment to the specific line item on the Expense Report.
NOTE: Chrome River is programmed to not allow submission until AFTER the travel has happened. Therefore, do the following:
-
-
-
- On the Expense Report header page, use “yesterday’s” date as the start date and “today’s” date as the end date
- Use the Comments section to document the intended dates of travel and mention Due to COVID-19, the trip was cancelled. You will need to document on EACH line item entered the details of the correspondence between you and the vendor to document that you tried to get a refund and the end result.
-
-
Reimbursement will be considered for official business trips ONLY (and not any personal travel associated with the business travel)
- For LOCAL HOTEL BOOKINGS FOR GUESTS
Contact the hotel IMMEDIATELY
-
- Notify payables@umw.edu and include the following:
- Name of hotel
- Name of guest
- Date(s) of stay
- Name of person at hotel with whom you spoke and the date of conversation
- Notify payables@umw.edu and include the following:

Career Center Update – COVID-19
In an effort to promote the health and well-being of UMW’s community during the COVID-19 outbreak, all instruction will be conducted online starting March 16 and continuing through the remainder of the spring 2020 semester. The Center for Career & Professional Development is dedicated to providing as much support as possible, and has moved to all virtual services. Below is information for students, employers, and faculty on services from CCPD. We will be updating our social media feeds (Facebook, Instagram, Twitter) during this time and you can always feel free to contact us via email at ccpd@umw.edu.
Students
During this very hectic time, it is important to take care of yourself physical and mentally. Communication is a very important part of that process. Stay in contact with your faculty, your employer(s), the career center, other UMW community members, family, and friends.
- The Career Center is open and ready to help! We are ready to answer questions about your internships, job search, resume reviews, etc.!
- One-on-one appointments with a Career Coach can be scheduled via Handshake. Appointments can be done online or phone via Zoom or Email. Please choose your preferred method when making an appointment.
- If you would like an email resume or cover letter review, email your documents to ccpd@umw.edu. You will receive a review within two business days.
- If you are currently enrolled in an IDIS course, please contact your instructor for guidance on the remainder of the semester.
- If you have any other questions related to the Career Center, please email ccpd@umw.edu.
Internships
- Face-to-face internships (for which remote work or an alternate modality is not possible) should follow the same schedule outlined in the university’s operational timetable which means that on-site hours are suspended through the end of the semester.
- Students enrolled in for-credit internships should connect with their faculty sponsor to review the number of internship hours completed and discuss alternate means of completing the internship. Depending on the number of hours worked, the student and faculty member could decide that the internships commitment relative to the credit received has been met and/or could be met with an appropriate academic component.
- The Center for Career and Professional Development is ready and prepared to support these conversations. Please contact Bianca Hightower at bfaison@umw.edu and/or the general Career Center email at ccpd@umw.edu.
Employers
- If you have questions about posting a job or internship, or want to discuss future on-campus recruiting options, please email Rose Maddox at rwagner@umw.edu.
Faculty
- If you have questions about your spring or summer internships, please email Bianca Hightower at bfaison@umw.edu.
- If you have general Career Center questions, please email ccpd@umw.edu.

UPDATE: The undergraduate picnic has been moved to the University Center, Chandler Ballroom
Visit the Undergraduate Picnic page for more details.
A decision about the undergraduate commencement venue will be made at noon Friday
As we prepare for UMW’s undergraduate commencement ceremony on Saturday, we continue to closely monitor the weather situation. It is our hope that, even if conditions are not ideal, we still will be able to hold the ceremony outdoors on Ball Circle as scheduled.
If the forecast for intermittent rain showers holds, it is likely that we will proceed with the outdoor ceremony. We will, however, provide a number of indoor viewing locations throughout the campus where family members and friends of graduates may comfortably watch the ceremony via live stream.
Should the weather forecast indicate a high likelihood of severe weather conditions – steady heavy rain, high winds, and/or lightning – we will be forced to hold the ceremony in the Anderson Center. If that becomes necessary, the decision to move the ceremony indoors will be announced by 12:00 noon on Friday, May 12. You will receive an email notification and the announcement will be posted to the University website.
If we must implement the severe weather emergency plan, the number of attendees in the Anderson Center will be severely limited due to capacity. Tickets will be required for entrance of all guests. Any subsequent announcement will include details regarding ticket distribution. All non-ticketed guests or those who arrive after the Anderson Center has reached capacity will be directed to the live stream locations to watch the ceremony.
For information, visit the 2017 commencement website.

26th Annual Multicultural Fair to Move Indoors, April 9
The following message is from the James Farmer Multicultural Center.
To the campus community:
Due to a forecast of rain, wind, and unseasonable temperatures, Saturday’s Multicultural Fair will move indoors. While food vendors will still be located on Ball Circle, craft and other vendors will move into the first and second floors of the University Center.
The performances will take place as follows:
The Children’s Area will be in the Talon Lounge on the 3rd floor of the University Center. The other performance areas will be located in Monroe Hall 116, the Lee Hall Underground, and Dodd Auditorium in George Washington Hall.
If you are scheduled to work at the event and have questions, please contact Greta Franklin (gfrankli@umw.edu) or Marion Sanford (msanford@umw.edu). For all others in the campus community, we hope you will plan to attend the University’s 26th Annual Multicultural Fair, which is from 10 a.m. to 5 p.m., and that you will encourage others to attend.
