Even though State and Federal travel restrictions are presently in place, we realize people are trying to plan for FUTURE travel. Please use the following guidance.
At this time—and until further notice—ALL travel requests (day-only or overnight) submitted for travel dates after March 15th, 2020 must have Cabinet level approval. This applies to both Travel Pre-Approval reports and reimbursement Expense Reports. If travelers are able to avoid making travel commitments at this time, they should do so. If the traveler is not able to hold off on making travel commitments, a Travel Pre-Approval request should be entered in Chrome River. In addition to the automatic electronic approval routing in Chrome River, documentation from the Cabinet level is required. The documentation can be an email or other form of written approval and must be attached as an uploaded document in Chrome River. A list of Cabinet Members is provided below.
If documentation from Cabinet level is NOT attached to the Travel Pre-Approval request or the reimbursement Expense Report request, the request will be returned until Cabinet level documentation is provided. In addition and until further notice, without Cabinet level approval attached in Chrome River, the Travel Pre-Approval or reimbursement Expense Report is considered UNAPPROVED, regardless of the report status identified in Chrome River.
If you received a credit, voucher, or waiver due to a cancelled trip and plan to use it for future business travel, you must also obtain Cabinet level approval and enter a new Travel Pre-Approval request.
Based upon a notification the U.S. DOT published on 4/3/20, airlines should now be willing to process refunds as detailed at https://www.transportation.gov/briefing-room/us-department-transportation-issues-enforcement-notice-clarifying-air-carrier-refund. If you were previously denied a refund and offered a credit or voucher instead, please contact the airline again to see if they are now willing to process a refund.
