* Only graduating seniors and residents approved for extended stay are permitted to be in on-campus housing after this date.
Check-Out Procedures
All residence halls will close on Saturday, May 3 at 10 AM for those who are not graduating or approved for extended stay. Students are expected to vacate their space within 24 hours after their last exam or by 10 AM on May 3–whichever comes first.
RA Staff will be conducting closing meetings in April to go over all closing information and instructions. All residents are required to attend their RA’s closing meeting. Attendance will be taken at each meeting. You will schedule your check out time with your RA at this meeting by submitting a check out form on Roompact. If you are unable to attend the meeting scheduled by your RA, you must let your RA know so they can ensure you receive the necessary information from the meeting and you can still schedule your check out with them.
When you are moving out, you should remove all of personal belongings, including trash and recycling, from the room and ensure the room has been cleaned. Once your space is clean and clear, an RA will complete your check out by going over your Room Condition Report and doing a walkthrough of your space. If you have a loft kit checked out to you, you will need to return it to storage with your RA during your check out. Your RA will approve your check out by signing off on your End of Year Check Out form on Roompact. Once your form has been signed off by an RA, you can take your room key to a designated key return location.

Failure to properly check out of your room with an RA and/or return your key will result in a $150 Improper Check-Out charge and/or a $125 Key Replacement charge to your student account.
Extended Stay
If you are not a graduating senior but need to remain on campus after 10 AM on Saturday, May 3, you will need to submit an Extended Stay Request Form by Friday, April 18. Submitting the form does not guarantee approval. Residence Life and Housing will review all requests and send you their decision via email before finals week.
Finals Week Quiet Hours
Residents should move out within 24 hours of their last final or by 10 AM on Saturday, May 3 — whichever comes first. All residential buildings follow 24/7 quiet hours from 10 PM Friday, April 25 to 10 AM on Saturday, May 3. Students are asked to be considerate of their neighbors during this time by not being heard outside their rooms.
Room Condition Expectations
Items may not be left in residences over the summer and there are no on-campus storage options. Students should completely clear their space of all personal belongings, including trash and recycling, before moving out. All trash and recycling should be taken to dumpsters outside. Property or trash left behind in your room/suite/apartment will result in abandoned property and/or cleaning charges assessed to your student account. Any trash or items left in the hallway or other common spaces during move out will be considered abandoned property and may result in a community charge.

Eagle Landing will get two outdoor dumpsters by the courtyard for move out and all trash and recycling should be taken to the outdoor dumpsters rather than the using the trash chutes. Please be courteous to our Housekeeping staff during move out and ensure you clean up after yourself.
Students must clean their space as follows:
- Carefully remove all tape, stickers, adhesive tape, etc. from walls, doors, ceilings, mirrors, and windows.
- Clean off writing on doors, walls, desks, dressers, or chairs. This includes chalk on UMW Apartment balcony walls and floors.
- Wash all furniture surfaces – chairs, desks, dressers, window sills etc. There should be no stains, black smudges, tape, or sticky spots left.
- Place all furniture in the room, in its original place and condition. All lofted beds must be returned to the original “tall” setting and all loft materials must be returned to storage with an RA. There is a $125 fee for beds left in a lofted state.
- Bring all of your trash and recycling to the appropriate containers outside the building. Do not leave garbage in the hallway. Each resident will be billed for garbage/recycling or items left in the hallway, bathroom, or other common spaces.
- Remove ALL personal belongings.
- Sweep and mop the entire room floor, if not carpeted. No dust bunnies or dirt should be left behind or under furniture.
- Empty all drawers, closets, cabinets, and university refrigerators, and wipe out all dust.
Room condition charges may also be added to your account if the room is not left clean, clear, and in good condition.
Parking Information
Vehicles will not be allowed to drive on walkways, park on the grass, in Fire Lanes, Reserved, or Handicap spaces, etc. to load vehicles. Follow all parking policies. If parking in a temporary loading zone, move your vehicle as soon as possible so others can load their vehicles.
Mailbox Information
All students graduating, studying abroad, transferring, or withdrawing will need to submit a completed UMW forwarding form to campus mail services, as well as notify all correspondents their address has changed. Students should stop by the UMW Post Office in the Woodard Campus Center to submit a completed forwarding form. These forms are available at the UMW Post Office and the Eagle Landing front desk. Students staying on campus during the entire summer should not forward their mail.
Security
Students should remember to keep their doors locked at all times. When packing and moving out, they should not leave their room or belongings unattended. There will be many people on campus during the last few weeks of the semester. Students’ safety and that of their belongings deserves special attention. Many universities see an increase in theft during this period of transition. Students should remember to not let others into the building without proper access. Potentially suspicious activity should be reported to University Police by calling 540-654-1025.
